Candidates

Birthday in Candidate widget and improved filter

Based on feedback of customers we made it easier to track birthdays of candidates. You can now add the birthday of the candidate to a Candidates widget on the Dashboard. We also changed the Birthday filter in the Candidates module: this used to be a filter for 'X days from today'. We changed this to a filter with more options, like 'Current Month' , 'Next week' etc. X days from today is also still one of the options.

New 'Availability'-filter

We have a functionality to keep track of a candidates availability. The filter to find available candidates was quite complex. We made it much more user friendly; you can now choose between a 'simple' filter to quickly find your available candidates or an 'advanced' filter with all the other options.

Improved  'Availability'-widget in candidate detail

We have a functionality to keep track of a candidates availability. The widget in the candidate detail, where you can see and update the availability of the candidate, has gotten a major update to make it much more user friendly.

Candidate Availability in Matching templates

From a specific record detail view (for example a candidate detail) you are able to hit the match button and indicate to which entity you want to match the record (for example match the candidates to vacancies). The 'traditional behavior' for this matching process is to pick up the matching criteria from the source record (so in this example the match criteria from the candidate) and use it to search in the selected entity (so in this example search for vacancies with the same match criteria). However, we also have 'matching templates' to influence this behavior. This for example allows you to create a matching template that searches for vacancies with specific candidate match criteria, specific vacancy main statuses (so only 'open vacancies' will appear in the result) and pick up the country/postal code of the candidate and only show vacancies within a specific range. This makes matching easier for users with more relevant results. In matching templates with methods 'Vacancy to Candidate' & 'Vacancy to Linked Candidate' you can now also use the improved Availability filter.

Configuration & Settings

Increased maximum custom actions shown from 20 to 500

We have a possibility to create 'custom actions' which are more-or-less custom buttons that lead to external (partner) URL's/endpoints. These custom actions can be shown in specific user interfaces (for example the module navigation, on top of the Candidates module or in a customer detail). If you configured more than 20 custom actions in a specific user interface, we would only show the first 20 custom actions. This was fine for by far most clients, however not for clients using more than 20 custom actions in a specific user interface. We have therefore increased this limit from a maximum of 20 custom actions shown to a maximum of 500 custom actions shown.

Contact forms for OTYS Site Builder

For the OTYS Site Builder we added a functionality to create a contact form.

Dominant candidate status

When the feature 'Dominant candidate status' is enabled, you can mark a candidate status as 'Dominant'. In certain situation the status of a candidate would normally be changed, for example by a workflow rule. When a candidate has a 'dominant status', it will not be overwritten with another status. This feature can especially be useful when certain candidate statuses are configured to be an exception on the normal GDPR rules. For example if a status like 'Hired' is marked to keep the kandidates without asking for repeated permission. When a status change happens in the background, like with automated de-doubling, the candidate will keep the dominant status.

When a status is changed by a user, a warning will show asking for confirmation to change to the new status, with a mention that the current status is a dominant status. If you want to use this feature pleas ask our support team to enable it for you. As a key user you can mark a status as dominant in client setting 'Candidate status' (GE72). As a super user you can inform our support team which statuses you want to be marked as dominant.

For candidates we have a 'last contact date' which is automatically updated in case of an outgoing individual email (so no newsletter or automated email), incoming email, note in dossier, calendar item in dossier or candidate portal login. We have a client setting 'Dossier - Contact flow' (SE558) that (when enabled) will show a 'Contact flow'-select when creating a note in a dossier. If this setting is enabled (and the 'Contact flow'-select is thus shown), the last contact date of the candidate will only be updated if this select is set to 'Incoming' or 'Outgoing' (it will NOT be set in case of 'No contact'). If this setting is disabled (and the 'Contact flow'-select is thus NOT shown), the last contact date of the candidate will be updated for every created note. In setting 'Dossier - Dossier types configuration' (GE91) Key users can now configure a default value for the contact flow per type. This way you can now make sure which types of notes should be taken into account for the 'last contact date', while the user doesn't have to select the contact flow every time they make a note.

Mail

New 'Size'-column in email list

In our internal legacy Mail application (which is used by a limited number of older clients) we have added a (sortable) 'Size'-column, which can allow users to order their emails based upon its size (for example from largest to smallest). This can help in case of doing a storage clean up. The column is by default shown at the very end, but using the drag-and-drop a different position can be configured by the user.

Placements

Required documents checklist

In the Placement detail you can now add a Required documents checklist-widget. This widget will show the document types that are required for this type of placement and indicate if documents with those types are found the the indicated dossier of the candidate, placement or relation. In the new setting 'Placements - Required documents' (GE381) keyusers can configure per placement type which document types are required. In the Placements module you can now also use the filter 'Required documents' to search for Placements where required documents are complete, partially complete or where there are no documents. You can add a column to the Placements listview to spot the status of required documents per placement, this is also available for Placement widgets on your dashboard.

Procedures

Appointment date in Procedures widget and Procedures listview

In Kanban and the new Procedures widget we show the appointment date if that date is connected to a procedure step. This date is now also available to add to Procedure widgets on your dashboard and the Procedures listview.

Procedures widget now configurable

In the new widget for applications we added a configuration icon. This allows for customer or user specific configurationswith the following options:

  • Extend: if enabled, always extend all procedures shown in the widget

  • Select to show/hide the following information:

    • Vacancy

    • Relation

    • Join date

    • Killer questions

    • Procedure owner

    • Motivation

Show Availability-columns in procedures list

We have a functionality to keep track of a candidates availability. You can now also use the columns  'Available', 'Available at' & 'Available per direct' available in the Procedures module.

Sales Select

Relation and contact person information widget in Sales Select

Previously you could see the linked contact person and relation of a Sales Select opportunity in the detail view. These details were hyperlinked, and by clicking them we would transport you to the correct entity in either the CRM or the Contacts module. However we understand that you want to be able to see contact information within the Sales Select opportunity, and so we've added a new widget that you can add to your Sales Select detail view. In this widget you will see the linked relation and/or contact, but also linked email addresses and/or phone numbers to make accessing the contact information easier and more insightful.

Portal Users cleary labeled in MyOTYS

When using the new Hiring Manager Portal, you manage the users via MyOTYS. We now made it easier to see in MyOTYS which users are Portal Users.

Tasks

Warn when cancelling a comment that is not saved

When you close a comment of a task, and the changes are not saved yet, we will show a warning message with the option to cancel or continue.

Candidate engagement in vacancies listview

'Candidate engagement' gives insight into the popularity of a Vacancy. The number of views is now also available in the Vacancies listview. This is only available if Candidate engagement is implemented in your website.
