Candidates

Limit availability automatic update period options

We have a functionality to keep track of a candidates availability. Availability of a candidate can both be updated in OTYS Go! (through an 'Availability'-widget) and on FO (through the candidate portal). We can send automated emails to candidates requesting their availability based upon their last contact date and their 'automatic update planner'. If for example the last contact date of a candidate is on 16-06-2026 and the period of the automatic update planner is set to '3 months', the candidate will get an automated email on 16-09-2026 (unless there will be contact with the candidate in between). The period-select of this automated update planner previously always showed '1 week', '2 weeks', '1 month', '2 months', '3 months', '6 months' & '1 year'. We would like to be able to limit these options (both for Go! and FO), so that a client can for example only show options '2 months', '6 months' and '1 year'. We already had client setting 'Availability - Default email frequency for availability mails' (SE765) to select a default frequency for these options, but no setting to limit the options themselves. From now it is possible to manage the options shown to the user & candidate trough client setting 'Availability - Email frequency for availability mails options' (SE3610).

Updating last contact date when creating calendar items

We have a functionality to keep track of a candidates availability. Availability of a candidate can both be updated in OTYS Go! (through an 'Availability'-widget) and on FO (through the candidate portal). We can send automated emails to candidates requesting their availability based upon their 'last contact date'. This contact date should be updated to today in case of an outgoing individual email (so no newsletter or automated email), incoming email, note in dossier or candidate portal login. In case of a created calendar item with the candidate as a participant, we were not updating the last contact date (while in the original back office version we did). Now we will also update the last contact date when creating a calendar item with the candidate as participant. Please note this only applies (just like when adding a note) when a calendar item is created for the very first time.

Show which user is a portal user

With the new OTYS Corporate Portal, the portal users are created on the same technical base as 'normal' Go! users. We now added a 'P' in the user settings to make it easier to recognize these users.

Workflow action 'Add webuser'

With a 'webuser' candidates can login to the candidate portal and for example update their information. Candidates who apply via (OTYS) websites automatically get a webuser. When candidates are added manually, or via integrations etc, they don't. It is possible for users to create a webuser manually, but that is quite a lot of clicking. We added a workflow action to create a new webuser for a Candidate with minimum of work for the OTYS user. This workflow action 'CAN: Create Webuser' can be used in combination with a candidate status change or a procedure status change. It will check if there is already a webuser for this candidate and if not create a new one. When configuring the workflow action you can enable a checkbox to automatically send the username and password to the candidate when the webuser is created. This email is based on UTS template "newOcdMemberEmail"(1451). You can add a 'GLB: Create standard document (v2)' action to the same workflow rule and use merge field '{{CandidateService.__CandidateFoProfileLink__}}' to show a hashed link that will lead the Candidate to the portal. Here they can save a password for further use. The hashed link will be valid for 14 days.

Pre-filled fields for workflowaction ‘TriggerAppointmentPlanner’

We've previously implemented certain actions in workflows where you're able to fill out fields in advance that will remain filled out when the workflow is triggered. To facilitate this behaviour in different place we've now also added this to the workflow action ‘TriggerAppointmentPlanner’. In this workflow action you can now fill in specific fields with pre-determined text, options, templates, and document languages. Doing this will make your Appointment planner workflows more intuitive and allow for an easier workflow.

Wizard-view for mail integration settings

To enable the the mail integration with Outlook or Gmail, each user needs to take some steps to make the connection. To make this a bit easier, we changed the separate settings into a 'wizard' view that will take users trough the steps.

Availability spotlight checkbox in candidate status configuration

It is possible to register availability for candidates. This can be done by OTYS Go! users from the candidate detail in OTYS Go! and by candidates themselves in the candidate portal. If a candidate changes his availability in the candidate portal, an email is by default send to the owner of the candidate. We already had an 'Availability spotlight'-functionality to get additional notifications to a generic email address (configured through client setting SE2148) for availability changes by candidates with a specific status. However, it was not possible to set these markings in OTYS Go! in the configuration of the status. Now it is possible to check new checkbox 'Send generic notification if candidate changes availability' in existing client setting 'Candidate status' (GE72).

Dashboards

Order target reports in dashboard widget

We've added the ability to sort in the target widget on the dashboard. You can now sort on rank and alphabetical order, both ascending and descending.

Procedures have a detail view. To make it easier to reach this detail you can now open it with one click from a Procedure widget on your dashboard. You can also still open for example the candidate detail from here; just with a more precise click on their name.

Application Process widget for Procedure detail

For the Procedure detail you will now find a new widget, that shows the procedure steps in a more visual way. See at once where the procedure stands now, what the next step is and which dossier items like document or appointments are linked for each step.

Improved Quick Evaluation widget in Procedure detail

In the procedure detail there is a widget for 'Quick Evaluations'. We improved both the look and options of this widget. The widget shows more clearly who wrote the QuickEvalution and offers filter on for example Procedure status.

Sales Select

Filter on 'Status change date' in module and add column in listview

When you set a deal to won or lost in the Sales Select module, OTYS registers that date. We use this date in our reports, such as our forcasting report, but we've now also added the ability to view this date in the list view of the Sales Select module, as well as filter on results using this date.
