Candidates

Placements included in de-doubling

We have a de-double functionality to merge candidates that are actually the same person, including both an automated script and an interface for manual checks/de-doubling.

When de-doubled candidates are connected to placements, that placement connection is now saved to the candidate that is kept. In the manual de-doubling interface the user chooses to include placements or not, in the script they are always saved to the candidate that remains in the database.

Feedback Online CV Presentation now in widget

When a contact person responds on a Online CV presentation, the feedback is shown in a Quick Evaluation. We have added a column with these Quick Evaluations to the Online CV Presentation widget, to keep the feedback closer to the overview of send presentations. Here you will now also find the feedback on 'open offer' presentations; in these cases there is no vacancy and no procedure.

Send online job presentation in batch when matching candidates from vacancy

We have an 'online CV presentation' to send a candidate to a customer contact person (and ask the customer contact person if he/she is interested in the candidate or not) and we have an 'online job presentation' to send a job to a candidate (and ask the candidate if he/she is interested in the job or not). From the procedures list it was already possible to send multiple online job presentations to candidates, by using a batch action. When matching candidates from a vacancy it was also already possible to send online cv presentations of the selected candidates to the contact person of the vacancy. It was not yet possible to send online job presentations to the selected candidates. Now it is. We have created the new batch action 'Present vacancy [vacancy] to candidates'. If this batch action is enabled through client/user setting 'Candidates - Enabled batch actions' (SE3407) and you are matching candidates from a vacancy detail, this new batch action will appear. Clicking on this batch action will open a similar modal as the modal shown when creating an online job presentation from the procedures list. After hitting the 'Process'-button the online job presentations are generated and the candidates are linked to the vacancy.

Support of multiple templates for Online CV- & Job Presentations

We have an 'online CV presentation' to send a candidate to a customer contact person (and ask the customer contact person if he/she is interested in the candidate or not) and we have an 'online job presentation' to send a job to a candidate (and ask the candidate if he/she is interested in the job or not). These presentations can be send in various ways, which will trigger an email to the candidate or contact person with a hashed link of the online presentation. We have now made it possible to have multiple custom templates for the Online CV- and/or Online Job presentation. For example to have an Online CV presentation with Candidate contact details and an anonymized template. If a custom template is configured, an additional 'Template'-select will appear when generating the online presentation or setting up the workflow; after which the presentation will be send based upon the linked UTS template. Please note that this does require OTYS for setting up the custom templates one time, but once set up it is then possible to differentiate between presentation layouts.

Field 'Customer comment' available for interaction forms

The field 'Customer comment' is now available to use in interaction forms with actions 'Create business contact' and 'update business contact'.

Field hours per week available in interaction forms

The field 'hours per week', that can be found in the Candidate detail in the widget Salary/Costs, is now available to use in Interaction forms with actions 'Create candidate' and 'Update candidate'.

Delete ABAC rules in batch

Since we have lots of these user specific preferences in OTYS Go!, we have previously created an ABAC-functionality allowing to automatically adjust these user specific preferences based upon the organization units of a user. This way you can for example make sure all users will have the same detail views; or give specific detail views to Recruitment-users and other detail views to Marketing-users. The list of these 'ABAC rules' can be managed through client setting 'ABAC - ABAC configuration' (GE300). In the list view it is now possible to also delete ABAC rules in batch, by selecting the to-be-deleted ABAC rules, right clicking any of the selected rules and choosing 'Delete'. Just like with other batch actions, the user needs to have 'access' to this batch action. Since there was no client/user setting yet to define batch action permissions for the list of ABAC rules yet, we have created client/user setting 'ABAC - Enabled batch actions' (SE3604) for this.

ABAC rules for keyword options applying rank logic

In modules that use Actonomy search (Candidates, Vacancies & CRM) we have additional keyword search options when doing a keyword search. This way it is for example possible to define which fields should be searched in and if a wildcard should be applied automatically to the filled in keyword. For a user it is possible to store these settings as a default, so that they do not need to change it every time to their desired state. This is however a user specific setting. If a client wants all their users to search in the same way, it needs to be adjusted correctly for every user. Since we have lots of these user specific preferences in OTYS Go!, we have created an 'ABAC' layer on top of it, allowing to automatically adjust these user specific preferences based upon the organization units of a user. This way you can for example make sure all users will have the same detail views; or give specific detail views to Recruitment-users and other detail views to Marketing-users. We have previously created ABAC rules for these additional keyword search options, so that we can define defaults for them based upon the organization units of a user. In basics this worked correct, however in case of 'conflicting ABAC rules' (so two rules that apply on the same user with different behavior for the same element) the 'highest rank' ABAC rule should win (and thus be executed). For the created ABAC rules for keyword search options this was not the case. Now it is. So if there are multiple ABAC rules for keyword search options that apply to a user, the highest ranked will be applied.

Configure which options show via 'more' button in Vacancy

In a Vacancy detail you find a 'more' button, that will show a menu with several options. We created a setting to configure which options should show in this 'more' menu, to only show relevant options. This is a client/user setting; you can configure a default for the client and make exceptions per user. The setting can also be used in ABAC.  'Vacancies - Configure more menu (SE3606)'

Changed interface for configuring Vacancy Question set

In client setting ‘Question sets - vacancies' (GE32) Key Users can configure question sets that are used by customers to add new vacancies via the customer portal. The interface for this setting has been updated to look the same as similar settings.

Dashboards

Hours per week in Placements widget on Dashboard

You can now add 'hours per week' to a Placements widget on your dashboard. The number of hours shown here is based on the hours per (unit) as filled in the placement. When filled as hours per day, we will assume 5 workdays in a week (so 8 hours per day is 4 hours per week). When filled in per month, the number per week is calculated based on 4.33 weeks per month.
Hours per week are also used in the new Renewals module.

Total amount of procedures in vacancies widget on dashboard

For the Vacancies widget on the Dashboard we have made new 'extra fields' available so you can show the following info per vacancy: Apply count (the total number of procedures for that vacancy). Apply count today (the number of new procedures added for this vacancy today), Apply count per version (total number of procedures for this version of the vacancy) and Apply count today per version (the total number of new procedures today, for this version of the vacancy).

The fields related to 'versions' will only be available when the Vacancy versions functionality is enabled.

Follow-up date and sorting added to Sales Select dashboard widget

We already had a few date options available in the Sales Select dashboard widget, but one of the missing fields was ''Follow up date''. We've added the option to display this field in the dashboard widget, as well as sort on follow up date and entry date, both ascending and descending.

Optimized 'Delete' options in Mailing lists

Based on user feedback we optimized the delete options in Mailing lists, to make it easier to manage the items in the list.

Candidate reference nr available in Procedures

The Candidate reference number will now show in the header of a procedure detail. This reference number is now also available to add as a column to your Procedures listview.

'Communication text'-field for rejection reason

We recently made it possible to register rejection reasons in OTYS Go! when changing a procedure to a procedure status marked as 'rejection'. Within this project we also made it possible to include this rejection reason in a document (for example an email informing the candidate he is rejected) using merge field '{{ProcedureService.ProcedureStatus1.rejectionReason}}'. However, these rejection reasons are normally written in a way they look logical in a select (for example 'Work experience', 'Salary', etc) and sending an email 'We decided not to continue with your application because Work experience.' is not great. In client setting 'Procedures - Rejection reasons' (GE371) where you manage these rejection reasons, we have therefore added an additional field 'Communication text'. In this field you can add the text that can be used in communication towards the candidate based upon the rejection reason. For rejection reason 'Work experience' you can then for example add communication text 'your work experience did not match the profile the customer was looking for, while other candidates had more relevant work experience'. In the document you can then use the merge field '{{ProcedureService.ProcedureStatus1.rejectionReasonCommunicationText}}' to retrieve this communication text; so that the merged email will become 'We decided not to continue with your application because your work experience did not match the profile the customer was looking for, while other candidates had more relevant work experience.'

Renewals

Renewals module

The Renewals module is a way to show which Candidates will soon finish their project, to help you spot who you need to find a new project for. In Renewals you see an overview of Candidates and their Placements in a certain period. It shows for how many hours a week the candidate is now on Placements, compared to the expected hours per week for that Candidate. The overview includes information on the Placements including end date, tarif and if the placement is expected to be renewed. There will now also be a Renewals widget for the Dashboards.

Sales Select

Option to show contact person in kanban overview

In our Sales Select module you can work from a kanban, the cards of which are configurable for each user. With this release, we've added the ability to also show the linked relation contact with the relation on each kanban card.

Added due date indicators in listview, kanban, and filter

We previously showed due date indicators in the Sales Select widget on your dashboard. Here, you can see how many days you still had before your expected close date on all of your open opportunities. You can configure the amount of days per different alert in setting GE366, Days left indicators. With this release we've also added the ability to select these ''Days left indicators'' in your kanban and your listview, as well as added the ability to filter on this. Please note, when filtering we will only show open deals.

Create 'Vacancy'-workflow added to Sales Select status and fase changes

You were already able to create vacancies (empty and via form) by using the 3 dots in the Sales Select kanban, but we've also added the ability to add the ''Create vacancy'' to the workflow module. Here you can select in which Sales Select stage or Sales Select status you want this to happen. You also have the ability to select which 'create vacancy'-form you want to use here, rather than create an empty vacancy. The linked relation and/or contact person will be linked.
