Kanban view in CRM- and Contact Person- details

Based on the popularity of the Kanban-view we have now also made it available in the details of Relations (CRM) and Contact Persons. In these Kanban views you will find an overview of the procedures for vacancies related to that Relation or Contact Person.

Configuration & Settings

'Mandatory' checkbox for vacancy type available in matching template

When searching in Vacancies you can filter for 'Job type'. This filter includes a 'mandatory' checkbox to make sure you only get results that have the selected Job type. When configuring matching templates you can also include the job type. Here we now also added the 'mandatory' checkbox.

UTS templates in simple settings interface

In OTYS Go! we recognize three main user roles: users (users with no system configuration options), Super-users (users with basic system configuration options) and Key-users (users with basic system configuration options). Key-users normally have access to the 'UTS Manager' which allows them to update 1.350+ templates with many-many options (for example changing the text of an automatically generated system email). Super-users normally do not have access to this module, since it is quite a complex module that requires proper training & understanding. For Super-users we have previously created a 'Simple settings interface' and added additional configuration items (such as Documents and Workflows) with limited options, as a simple alternative for these complex Key-user modules. We have now also created a 'UTS templates'-configuration option in this simple settings interface, allowing Super-users to adjust the texts of the most important (and thus limited) templates in a user-friendly way.

UX improvement of client setting ' Vacancy profiles

With setting ' Vacancy profiles' (GE193) a Key user can configure vacancy profiles. These can be used when creating new vacancies; when you often creates the same, or similar vacancies, fields can be pre-filled to save time. We gave the interface of this setting an update to make it easier to work with. We also removed a connection to our old CMS that gave errors because it checked for a permission that is no longer relevant.
To start working with Vacancy profiles, enable ' Enable vacancy profiles' (SE1267)

Select default note type for quick action notes in dossier widgets

In the dossier widget you can use the option to make a shortcut for creating a note for an entity. To make this shortcut more user friendly we've added the ability to set up a default note type for this note shortcut. You can configure this when setting up the shortcut in the dossier widget. This way users have a quick way to create a new note, without having to select the type.

Field 'Contact nr.' available in interaction forms

The field 'Contact nr' is now available in Interaction forms with action 'Create contact person' and 'Update contact person'.

Fields 'Entry date', 'Sub category', and 'Tarrif' available in interaction forms

The fields vacancy entry date, vacancy sub category and vacancy tarrif are now available to use in Interaction forms with actions 'Create job' and 'Update job'.

Mark mailing lists as temporary

We have an automated script that cleans up mailing lists that are marked as 'temporary' every week on Friday. Until now you could only mark a mailing list as temporary when you create the list via certain batch actions. It is now also possible to mark a list as 'temporary' in the widget 'Mailing list info'. We also added a batch action to mark / unmark mailing lists as temporary from the list view. This batch action can be activated via client/user setting 'Mailing Lists - Enabled batch actions' (SE3413).

Configuration of PrintCV setting now also compatible with workflow

In client setting 'DocX Print CV Templates' (GE156) Key users can configure the default setup of a Print CV, for example if the generated CV should be a word or PDF document, show a picture etc.This saves clicks when using the PrintCV. These default values will now also be taken into account when 'generate PrintCV' is activated in a 'Create standard document'  workflow action.

Salutation mergefield compatible with workflows based on vacancy status change

In Documents you can use a merge field to show the salutation as configured for use in e-mails. We recently extended this functionality; now you can show the same (e-mail) salutation in documents that are not used as an e-mail. This will now also work for documents triggered on a vacancy status change.

Dashboards

Follow up date as extra field in CRM-dashboard widgets

For both CRM and Contact Person entities, it is currently possible to enter a follow-up date and to create filters based on this field. This 'follow-up date' can now also be added to the CRM- and Contact-person widgets on your dashboard. These widgets can now also be configured to be sorted (ascending or descending) by these follow-up dates.

‘ Share dashboard' discontinued

In Dashboards it was possible to create a link to 'share' that dashboard outside of OTYS Go!. This feature has been removed.

Dashboard changes Placements widget

We've optimized our placements dashboard widget. We've now added the ability to select per widget which fields you would like to see. These fields include: Candidate, Vacancy, Relation, Contact person, Start date, End date, and last note. The last note will appear on the right hand side and will be visible when clicked on. We've also added the placement end date alerts to the dashboard, showing you which placements will end soon, just like we show it in the module.

General

Vacancy types in Kanban

With 'Vacancy types' you can indicate which procedure statuses should be used per type. This makes it possible to have different procedure steps for different types of jobs. Our Kanban views will now also only show the procedure statuses that match the vacancy type.  A Vacancy can only have one type. A Candidate can of course have procedures for multiple vacancies, with different types. Kanban views that show multiple vacancies, like in the Candidate detail or on the Dashboard, will therefore show a select field to switch between types. Use 'nothing selected' in this select field to view procedures of all types together in your kanban view.  To use this vacancy type filter in kanban ask our Support team to activate it for you.

Improved usability in module kanban boards

Previously, if you had, for example, a large number of candidates in a vacancy kanban you could scroll down quite far and loose sight of the titles of each column. Next to that, it made moving cards at the bottom of the kanban very difficult. To resolve this issue we've now added individual scrollbars to each kanban column that contains a larger number of cards, allowing you to access every card and still be able to see the kanban column names when you move them.

Partner framework

URL-parameter for current content language in custom actions

We have Go! Partner custom actions, which are more or less custom buttons to redirect to partner interfaces from the OTYS system. In the URL's of these custom actions we were already able to include a merge field for the application language (shown in the OTYS Go! URL) by using merge field '($currentApplicationLanguage$)'. It was not yet possible to include the current content language (defined by clicking on the flag-icon). Now it is possible to include a merge field for the current content language by using merge field '($currentContentLanguage$)'.

Placements

'Document type- filter in placements now also includes note types

We've recently made the filter ''Document type and expiration date'' available in the placements module. To expand the capability of this filter we've now also added the notes to this list. This means that any note or document with a certain type in the placements module can be searched for using this filter.

Interface design changes

As part of our placements module optimization we've also taken a look at the user interface and the user experience. In this release, we've changed a few things to update the look and feel, and make the overall module more user friendly. Two of these changes will be most noticeable. First, we've changed how the ‘ placement end date’  alert looks. The entire date is now no longer bright red, but we've replaced these red and orange bars with the same icons we use in the procedure alerts. Secondly, if you use the validation feature we've made that entire section more visually appealing and user friendly.

Procedures

Sequential procedure statuses and job type apply to batch actions

With setting 'Sequential procedure statuses' (GE297) a Key user can configure per procedure status which following statuses are allowed. For example: after 'presented to customer'  you only allow 'rejected'  or 'first interview', to keep select lists short and prevent skipping steps.

We also have 'Vacancy types', that can be used to determine which procedure statuses should be used for a type of vacancy. Some statuses, like 'new application' are probably used for each type. Others, like 'Assessment' will only belong to vacancies of a certain type.

Procedure statuses can be changed in many ways in OTYS Go!. On most locations the logic was already in place to only show statuses that are relevant based on ' Sequential procedure statuses' and/or ' Vacancy types'. However, in the Procedures list view, you can change a batch of procedures to a new status. Here we always showed all statuses, allowing users to move procedures to statuses that were not part of the configured flow.

We now implemented to logic of both Sequential procedure statuses and Vacancy types also to this batch action. Since you are able to select a collection of procedures that are currently not all on the same status, and/or all of the same type, you will still see statuses that are not part of the flow for some of the procedures you selected. However if such a status is selected, we will not move that procedure to that status and show a notification explaining this.

Reminders

Blocked users no longer visible in the 'owner' dropdown on your dashboard

In OTYS GO! you can place a reminder widget in your dashboard. In the widget you can choose if you want to show your own reminders, or choose between alle the users who gave you permission for their reminders. This widget used to still show you blocked users, which could cause some confusion. We've changes this so that this dropdown of owners in the dashboard widget now only shows active users.

Sales Select

Weighted value' for Sales Select

"It is now possible to activate 'Weighted value' for the Sales Select module. The 'Weighted value' is the total value for the Sales opportunity, corrected with the probability. When my Sales opportunity has a total value of 10.000 and a probability of 50%, the weighted value will be 5.000.

When activated, this 'Weighted value' will be used on the following locations: Kanban card. Header information, Top of kanban, Bottom of list view total, List view column, Dashboard extra field and Bottom dashboard total. The Opportunity information widget will still show the total value.

This option can be enabled with client setting 'Sales Select - Enable weighted value'(SE3599)"

Sales opportunity owner now also a contributor in filter

In the Sales Select module we allow you to add contributors to your opportunities. This way you can see who helped secure which deal or contract, and for what percentage of the value of that deal they are responsible. As before, the owner of the opportunity is always a contributor. You can not remove the owner from the contributors field, or the contributors widget. Up until this release the owner was not taken along in the 'contributor filter' in the list and kanban views of the Sales Select module. We've changed this, allowing you to also use the owner as a true contributor. Good to know: We've made additional changes to this filter as well.

In our new Sales Select module we have the option of working with contributors. Until this release, the filter for these contributors was very static, only ever showing you results with exactly the information you had entered. We've changed this filter to now give you the option to either search for ''Any opportunity with any of these users as contributors'' by just adding these users to the filter, or to search for ''Any opportunity that has exactly these users as contributors'', by clicking the ''All options mandatory'' checkbox.

Tasks

Additional fields available in Tasks export

We have made additional fields available to use when exporting Tasks. These fields are: Type, Manager, Related candidates and the Extra fields (if configured).
Export profiles for Tasks can be configured in client setting 'Export profiles tasks' (GE146)

Task related to procedure when triggered via procedure workflow

When a model task is triggered with a workflow based on a procedure status change, the new task was only linked to the Candidate, Relation, Contact person and Vacancy. The task will now also be linked to the Procedure itself.
