Placement widget in Candidate

If you're using our placement module there's a significant chance that you're using our placements widget in your candidate views. This widget, although displaying interesting information, was sometimes difficult to filter through. To support this we've added the ability to sort on the Start and End dates (ascending and descending).

CRM

Vacancies widget in CRM & Contact person

In the CRM detail views we have a widget titled 'vacancies list'. This widget shows the vacancies that are linked to the relation you're currently looking at. This widget, although handy, had some styling and sorting issues. To make sure you can easily look through the current vacancies linked to this relation we've added a number of sorting options and split the 'published' and 'status' columns to allow for more clarity.

Placements widget in CRM

To facilitate the sorting through the placements linked to a certain relation in the placements widgets in the CRM we've now added the ability to sort on the Start date and End date of the placements.

Configuration & Settings

ABAC rules voor Sales Select

In ABAC you can setup rules to configure list- and detail views, default filters and left panel configurations for groups of users. These options are now also available for Sales select.

ABAC rules for keyword search options

In modules that use Actonomy search (Candidates, Vacancies & CRM) we have additional keyword search options when doing a keyword search. This way it is for example possible to define which fields should be searched in and if a wildcard should be applied automatically to the filled in keyword. For a user it is possible to store these settings as a default, so that they do not need to change it every time to their desired state. This is however a user specific setting. If a client wants all their users to search in the same way, it needed to be adjusted correctly for every user. Since we have lots of these user specific preferences in OTYS Go!, we have previously created an ABAC-functionality allowing to automatically adjust these user specific preferences based upon the organization units of a user. This way you can for example make sure all users will have the same detail views; or give specific detail views to Recruitment-users and other detail views to Marketing-users. We have now made it possible in ABAC to create rules that change these keyword configurations based upon the organization units of a user as well.

UTS Templates in Simple Setting Interface | note: will follow soon after 30-1

For Key-users we have various modules to manage (complex) configuration elements of their OTYS Go! system (Settings, Documents, Workflows, Interactions, etc). This is quite the overview of settings and information, so to make sure users can still configure their system without needing to dive into this list we created a 'Super-user interface' a number of years ago. This Super-user interface shows a very limited amount of settings in a user-friendly and intuitive way. In this menu specific users can configure their most important information in a way that suits them best. One of the more complex modules to configure in Go! is the UTS template manager. This module contains UTS templates that are used for automatically generating system emails. Not only does it have over 1000 templates, but it also has loads of options, which can be confusing for new or non-trained users. For these users we've already had the 'Simple settings interface' for a number of years. Here we have previously added additional configuration for other complex modules, such as Documents and Workflows. With this release we've also implemented the managing of certain parts of the most important UTS templates.

Field 'block' available in Interaction forms for vacancies

In the widget 'Publication' in a Vacancy detail you find the field 'block'. This field is now also available in Interaction forms with action 'Create job' and 'Update job'.

Field 'owner' available in interaction forms for Contact persons

When the 'owner' functionality for Contact persons is active, you can also use this field in interaction forms to create or update Contact persons.

Field 'Shortlist' available in interaction forms for vacancies

The field 'shortlist' , where you can select (a) website(s) where you want to publish the vacancy to the Shortlist, is now available for interaction forms with actions 'Create job' and 'Update job'.

Fields 'Sell rate' and 'Wage' available in interaction forms for procedures

The fields 'Sell rate' and 'Wage' are now available for Interaction forms with action 'Update procedure'

Workflow condition ‘Job type’ | note: will follow soon after 30-1

In OTYS Go! it is possible to configure 'job types'. This allows our clients support multiple workflows by linking specific procedure statuses to specific job types. This way procedure status 'Introduced to customer' can for example be linked to job type 'External vacancies' and not linked to job type 'Internal vacancies'. To help our clients split the behaviour when it comes to the combinations of procedure status and specific job type we've added the condition 'If job type is...' to our workflows module. This way we can only execute a specific workflow action if the linked vacancy has a specific job type.

General

Improved UX for 'create entity' Interaction Forms

When users create a new entity via a free interaction form, they are presented with multiple tabs to complete (e.g., general info, contact details, address, etc.). We improved the look of forms that are used in this way, to give a more 'wizard like' experience, guiding the user through the tabs.

Deeplink URLs for notes

In the dossier of for example a Candidate you can create notes. In the dossier tab you will find checkboxes in front of each item, like such a note. The available batch action here is ‘Send to colleague’. This will open an e-mail with a link to this specific note. This feature needed an update; more and more customers are using a third party e-mail provider like Outlook. The link to the notes used to be a link you could only open in OTYS-mail. This new version of the link will also work when opened in for example Outlook. Please keep in mind that it is still a link intended for internal use between colleagues, you will need to be logged in to OTYS to view the note.

Improved usability in module kanban boards

Previously, if you had, for example, a large number of candidates in a vacancy kanban you could scroll down quite far and loose sight of the titles of each column. Next to that, it made moving cards at the bottom of the kanban very difficult. To resolve this issue we've now added individual scrollbars to each kanban column that contains a larger number of cards, allowing you to access every card and still be able to see the kanban column names when you move them.

Placements

'Change supervisor' available as batch action

For most of our modules we have the ability to use batch actions from your module list view. For our placements improvements project we've added one new batch actions titled ''Change supervisor". You can find this new batch action in SE3412 - Placements - Enabled batch actions. Please note that this only works if you work with placement supervisors.

'Exclude' added to dates in placement filters

We have a number of date filters in our placement modules, such as start dates, end dates, and entry date. These 3 date filters were always rather flexible, but we did not have the option to exclude any dates. This 'exclude' option has been added now, allowing you to search and filter much more easily on what you need to find.

Additional filters in Placements

To improve the ability to search through your placements, we've added the following filters:

  • Has documents + document types. Here you can select if your placement has any linked documents, as well as which ones. You can include or exclude documents, and if your document type uses expiration dates you can filter on this, too.

  • Vacancy owner, candidate owner, procedure owner, relation owner. These filters should help you with grouping your placements based on the entities that your colleagues are the owners of.

  • Placement alerts. We have the option to configure visual alerts on the end-date of placements. We've now added the ability to filter on them so you can more easily see who's placement is nearly finished. This will also help you display these placements on your dashboard as you can create a widget based on a saved filter.

Export freelance VAT/TAX number

We've added the field 'Freelance VAT' (also known as 'TAX #' or 'BTW nummer') to the export fields in our Placements module.

Placement dashboard widget improvements

For our placements improvements project we've also taken a look at the placements widget on the dashboard. We've added the ability to view your last note, the linked contact, the linked candidate, the linked vacancy, and moved the location of your linked relation to the new [i] icon. You can now also sort or the end date of placements, either ascending or descending. Lastly, if you use 'placement alerts' you will now see these in your dashboard too. All of these new options can be configured in the configuration of your dashboard placement widget.

Procedures

'Procedure status history' in procedure detail view

On the detail pages of vacancies and candidates we have a 'status history' button where users can see what status was set when, and by whom. We also offer this for procedure statuses, but until this release we only had this in the 'applications' widget on vacancies and candidates. You can now also find this 'status history' button in your procedure detail views.

Reports

Totals for stacked bar/column charts

in OTYS Go! we have a number of reports where we can split and show you your data per OTYS Go! user (consultant). This can be useful when trying to get an idea of ''who did what'', but if you wanted to see everything counted up together you usually had to create a new report that showed everything together. Not only did you loose the ability to view ''who did what'' there, but you also had to make a secondary report for a simple calculation. To improve on this we've now added the 'total' number above each stacked bar or column.

Sales Select

‘Updates’ widget for Sales Select

For the Sales Select module we added a new widget that will show updates to the opportunity. The widget will show a new record when any of the following values is updated: Stage,Value Probability, Owner and Contributors. Note: this widget contains a lot of information. For te best result we advise to add it in a separate tab of your detail, over the full with of your page.
