This guide is for organisations that use OTYS. mycv creates commercial CVs from candidate data in OTYS, using templates your organisation maintains.

User Guide mycv
1. Introduction and key concepts
mycv is an AI-powered CV builder that sits alongside OTYS. You pick a candidate, choose one of your organisation's templates, and mycv writes a professional commercial CV that you can edit, download, share, or save in the candidate's OTYS dossier.
This chapter explains what the product does, how it fits into your OTYS workflow, and the core concepts you will see throughout the rest of this guide.
What mycv does for you
Creates a commercial CV from a candidate in OTYS, using an active template.
Writes the CV text with AI (profile, experience descriptions, and similar fields) in the language and tone you choose.

Keeps the CV in step with OTYS: when candidate data changes, mycv tells you and lets you review the suggested updates.
How mycv fits into the OTYS workflow
mycv is designed to sit alongside OTYS:
You sign in to mycv using your OTYS account (see "Signing in from OTYS").
You start from candidate detail in OTYS (partner action or partner widget), or you search for a candidate from mycv itself.
mycv fills the template with that candidate's data, optionally using a linked vacancy and relation for extra context, and AI writes the commercial text.
You review and edit the CV, then download it, share it, or save the PDF in the candidate's dossier in OTYS.
The full editing experience lives in mycv. The PDF in the OTYS dossier is the copy you chose to store on the candidate.
Templates versus CVs
This distinction is the most important mental model in mycv.

Editing a CV never changes the template. Editing a template never changes CVs that were already created from it.
The CV lifecycle
A typical CV flows like this:
Create — you choose a candidate (and optionally a vacancy and relation), generation options, and an active template.
AI writes the text — mycv generates the commercial wording. In OTYS you first see a preview; you can then open the editor.
Edit — you adjust content, layout, and style in the live editor. Changes save automatically.
Output — you download a PDF, save it in the OTYS dossier, and/or share a link.
A note on terminology
Throughout this guide, mycv is the application you are reading about. OTYS is your recruitment system. A template admin is the person who creates templates and the mycv admin finishes organisation setup. By default the mycv admin (who is the mycv application admin) is also the template admin, but can assign the role of template admin to other users. A full list of terms is in the "Glossary".
AI and European servers
mycv uses AI to write and edit CV text. Those AI requests run on European Union servers. Candidate content is not used to train the AI models. See "Data, privacy, and AI" in the Mycv admin Guide if you need more detail.
2. Signing in from OTYS
mycv uses your existing OTYS account, so you do not need a separate password. This chapter explains how to open mycv from OTYS, what happens on first sign-in, and how sessions and signing out work.
OTYS Single Sign-On (the primary way in)
Single Sign-On (SSO) means you sign in once in OTYS and are then allowed into mycv without entering another password.
To open mycv from OTYS:
Sign in to OTYS as you normally do.
Click your profile picture (your head) to expand the quick navigation.
Click mycv.
You are taken to mycv and signed in automatically.
The first time you sign in this way, mycv creates your user account based on your OTYS profile. Your name and email come from OTYS, so make sure your OTYS account has a valid email address.
If your OTYS account does not have an email address, sign-in cannot complete. You will see a message asking you to add an email address to your OTYS user account and try again.
You can also reach mycv from candidate detail in OTYS (see "Creating a CV from OTYS"). That path signs you in the same way and already knows which candidate you are looking at.
What you see if the organisation is not ready yet
If your mycv admin has not finished onboarding — including creating and activating the first template — other users cannot use mycv yet. You will see a message that organisation setup is not complete. Ask your mycv admin (the OTYS Application Admin who is setting mycv up) to finish onboarding. Details are in the Mycv admin Guide.
Sessions and staying signed in
After you sign in, mycv keeps you signed in for a period of time so you do not have to authenticate on every visit. If your session expires, you will be asked to sign in again. When that happens, the easiest path is to open mycv from OTYS again.
Signing out
To sign out:
Open the user menu in the top corner of the mycv screen (your name or profile icon).
Choose Sign out.
Signing out of mycv does not sign you out of OTYS. If you are on a shared or public computer, sign out of both applications.
3 First-time onboarding
The first time you use mycv, a short walkthrough introduces the product. It is based on your role: template admins see an admin walkthrough that ends by creating the first template; everyone else sees a user walkthrough that explains how to create a CV.
The walkthrough is mandatory the first time. You can replay a guided tour later from My profile if you want a refresher (see "Personal settings").
What every user sees
As a regular user you can expect:
Welcome. A short introduction to mycv and your organisation.
How CVs are created from OTYS. mycv generates a CV from a candidate, using a template and AI.
Templates. Templates control layout, widgets, and style. They are managed by the mycv admin. You choose an active template when you create a CV; you cannot edit the template itself.
Creating a CV. You choose a candidate and an active template. mycv creates a separate document you can edit without changing the template. You can save the PDF to the candidate's dossier in OTYS.
mycv in OTYS. A partner widget can be added to candidate detail so you can create CVs without leaving OTYS. A view admin can add it to the standard view (see "Creating a CV from OTYS").
You're ready. You can start from the OTYS widget or search from mycv.
What template admins see (in addition)
If you are a mycv admin, your walkthrough also covers:
That you are responsible for creating templates for the organisation.
Organisation management in mycv (users, usage, logs).
A forced guided tour that helps you create and activate the first template from a starter prepared by OTYS.
Until that first template is active and admin onboarding is finished, colleagues cannot use mycv. This is intentional: nobody should meet an empty product.
Nothing in the later personal tour is final. Language and theme can be changed in "Personal settings". Template admins can replay the template tour; all users can replay the CV tour.
4. The CVs list
The "CVs" list is the home screen of mycv. It shows the CVs you created, grouped by candidate, and is where you start a new CV from inside mycv.
Opening the CVs list
Choose CVs in the main navigation. This is also the screen you land on when you sign in (unless you arrived from OTYS candidate detail).
Who appears here
You only see candidates for whom you have created a CV. Colleagues' CVs are not listed. Mycv admins are not an exception: they also only see their own CVs. To show a CV to someone else, share a link or save it in the OTYS dossier (see "Who can see created CVs").
Searching and filtering
Use the search box to find a candidate or CV by name. As you type, mycv can suggest filters for a candidate, vacancy, or relation that already appear on your CVs. Locking a suggestion narrows the list. Filters stay in the address bar, so going into a candidate and back keeps your search.
Opening a candidate's CVs
Select a candidate to see the CVs you created for them. From there you can open a CV in the editor, create another CV for the same candidate, or use the row actions (for example rename, duplicate, or delete).
Starting a new CV from the list
Choose New CV. This opens the create wizard described in "Creating a CV in mycv". If you already have a candidate selected, the wizard can start with that candidate filled in.
5 Creating a CV in mycv
You can create a CV from mycv or from OTYS. This chapter covers the in-app wizard. The OTYS path is in the next chapter; the generation options and the AI preview are the same.
Before you start
Your organisation must have at least one active template.
You need a candidate in OTYS.
Steps in the wizard
Who is the CV for? Search for and select a candidate. mycv then suggests the vacancy the candidate applied to most recently, when it can find one, and can auto-select the related relation (client). You can change or clear the vacancy and relation. Linking them is optional but recommended: AI uses them as context (fit to the role, audience of the client) without inventing facts.
CV content. Set:
Name of the CV (how it appears in your list and as a basis for the PDF filename).
Language — the language of the CV text. Choose from the list (type to filter). AI writes and translates into this language. This is separate from the mycv interface language in your profile.
Tone of voice — Formal or Informal.
Contact details — Full (all contact details), Anonymized (initials, no photo, no email/phone/exact location, referee contact stripped), or Hidden (contact block removed; name, title, and photo remain).
Select a template (skipped when your organisation has exactly one active template). Only active templates appear. Inactive templates are for template admins to work on and cannot be used to generate CVs.
Choose Create CV.
What happens next
mycv:
Creates the CV from the template and fills widgets with candidate data from OTYS.
Runs AI on the text: a profile introduction, translation into the chosen language, and a rewrite in the chosen tone. If you linked a vacancy or relation, that context can emphasise relevant facts. If extra instructions ask to fit a vacancy or hide irrelevant skills, skills may be reordered or hidden.
Opens the live editor (from mycv) so you can review and change anything.
Styling and layout are not changed by this first AI pass.
Creating another CV for the same candidate
From that candidate's CV list, choose Create CV. The wizard starts with the candidate already selected.
6 Creating a CV from OTYS
When mycv is activated for your organisation, it is available on candidate detail in OTYS. Candidate context is supplied automatically: you do not search for the candidate again.
There are two surfaces. They do the same product work.
Partner action (available by default)
After mycv is activated and onboarding is complete, a partner action is available in the top-right area of candidate detail (the exact label depends on the environment, usually MyCV).
Open a candidate in OTYS.
Choose the MyCV action.
A modal opens with the same create flow: optional vacancy and relation, language, tone, contact visibility, and template.
Create the CV. You get an in-OTYS preview of the generated PDF.
From the preview you can:
Download PDF
Edit CV — opens the mycv editor, signed in automatically, with this candidate already linked
Save in dossier — stores the PDF on the candidate in OTYS
New CV — start another CV for the same candidate
Remove — removes the mycv CV (it does not delete a PDF already saved in the dossier)
Closing the modal refreshes the candidate screen, so a PDF you just saved in the dossier can appear without a manual reload.

Partner widget (added by a view admin)
When mycv is activated, a partner widget becomes available in OTYS. It is not placed on the view automatically.
Users who can edit list/detail views (OTYS user setting SE3173) can add the partner widget to the global candidate view so the whole organisation sees it, or to a personal view.
Once it is on the view, the widget lives on candidate detail. The create flow, preview, and actions match the partner action. Candidate context is automatic.
How to add the widget is described for view admins in "Making mycv available in OTYS" in the Mycv admin Guide. Regular users only need to know: if you do not see the panel, you can still use the partner action, or ask a view admin to add the widget.

Which should you use?
Use whichever is in front of you. The partner action is always there after setup. The widget is convenient if your organisation added it to the standard view, because you do not need an extra click.
7. The live editor
The live editor is the same workspace for CVs and templates. This chapter explains the shared layout once. Later chapters only add what is different: ATS data on CVs, and activation on templates.
What you see
Canvas (centre). A live, paged preview of the document at print size. What you see here is what the PDF will look like.
Sidebar (left or right, depending on the mode). Structure, content, and settings — or the AI Editor.
Toolbar. Name, save state, undo/redo, zoom, and actions (download, share, save in OTYS, linked entities, and similar).
Changes auto-save. The toolbar shows Saving... and then Saved.
You can click a widget on the canvas to select it, then edit it in the sidebar or inline on the canvas where text editing is available.

Two ways to work: editor and AI Editor
The sidebar has two modes:
Editor — Structure, Content, and Settings tabs. You build and fine-tune by hand.
AI Editor — you describe the change in chat and mycv applies it through the same editor (see "AI Editor").
Switch with Edit with AI / Edit with editor. Use whichever fits the task; both change the same document.
Structure tab
The Structure tab is a layer tree of the document:
Pages (each page has a layout of columns)
Sections on a page: header, body, and footer
Rows inside a section
Columns inside a row
Widgets inside a column
You can reorder pages, rows, and widgets by dragging in the tree or on the canvas (where drop targets are shown). You can add a page, add a widget to a column, or remove a layer (with the usual protections: you cannot leave the organisation without an active template, and some ATS-linked items cannot be deleted — see below).
Content tab
The Content tab edits the data of the selected widget: names, dates, descriptions, skills, photos, and so on.
This is where recruiters spend most of their time on a CV.
On a template, many widgets show placeholder or sample content so you can style the layout. Candidate-specific content is filled when a CV is generated. Template admins still set widget titles and any free text or AI-text prompts that should appear on every CV.
On a CV, content is the real candidate data, which you can edit. How that data stays linked to OTYS is explained in "ATS data, the user with clock icon, and suggestions".
Settings tab
The Settings tab edits appearance of the selected layer: colours, fonts, padding, backgrounds, borders, and widget variants (for example timeline vs stacked work experience).
Settings cascade. A value set on the document applies everywhere unless a page, section, row, column, or widget overrides it. If you set a colour that is the same as the inherited value, mycv keeps it linked rather than storing a duplicate. Use Open global settings when you want to change the default for the whole document.
Typical global (document) settings include:
Body and heading fonts and sizes
Default text colour and widget title colour
Date format
Default padding for pages, sections, rows, columns, and widgets
Page background and optional background images
AI context — extra document-wide guidance for AI rewrites (role, audience, emphasis). Asking for vacancy fit or hiding irrelevant skills can also reorder or hide skills.
Metadata — language, tone, contact visibility (on a CV), and the OTYS document type used when saving to the dossier (on a template, and inherited by CVs)
Page settings include margins, whether that page uses the global header and global footer, and page-specific background.
Undo and redo
The editor keeps a history of your changes, including changes made by the AI Editor. Use undo/redo in the toolbar if you want to step back.
Widgets, rows, columns, and sections
This chapter explains the building blocks you see in Structure and on the canvas, and the settings that belong to them. It applies to both templates and CVs.
The layout model
Think of a CV as a stack of pages. Each page has:
An optional header (often name, logo, or contact strip), which can be global (same on every page) or page-local
A body, where most widgets live
An optional footer, also global or page-local
The body (and header/footer) contain rows. A row is a horizontal band that you split into one or more columns. Widgets sit in a column.
Rows are the placement containers. A widget belongs to a row; its page and column follow from that row.
Layouts
When a template is created from a starter, it already has a column layout, for example:
Sidebar left (narrow column + wide main column)
Two equal columns
Three columns
Full width (one column)
Sidebar right
You can still add rows with a different number of columns, change column widths, and add extra pages.
Widgets
A widget is one block of content. In OTYS, the widget types you can add are:

A variant (how it looks) — chosen in Settings
Content — edited in the Content tab
Settings — padding, colours, photo shape, list style, which contact fields to show, and so on
Repeatable items
Work experience, education, skills, languages, hobbies, and references contain a list of items. On a CV:
Items that came from OTYS can be hidden from the CV but not deleted, so you can leave something out without losing the link to OTYS.
Items you added yourself can be deleted.
Non-date lists (skills, computer skills, languages, references, hobbies, social links) can be reordered by dragging in the Content tab. Work experience and education stay chronological.
Adding a widget
Select a column (or use Add widget).
Choose a widget type from the picker.
Place it, then edit Content and Settings.
AI generated text widgets
On a template, the template admin writes a prompt (what this block should say). When a CV is created, mycv generates the body from candidate, vacancy, and relation context. You can regenerate that body from the Content tab on the CV. The prompt never changes layout or styling.
9. Linking candidates, relations, and vacancies
A CV is always about a candidate. You can also link a vacancy and a CRM relation (the client / opdrachtgever). This chapter explains why that matters and how to manage the links.
Why link them
Candidate — required for a useful CV. Widgets fill from this person's OTYS data (experience, skills, photo, and so on). Saving to the dossier also needs a linked candidate.
Vacancy — optional. Gives AI context for the role: mycv can emphasise relevant experience and skills. On create, mycv suggests the most recently applied vacancy when it can.
Relation — optional. Gives AI audience context (the client). When a vacancy has a related relation, mycv can select it for you; you can still change or remove it.
Where to manage links
During create — in the wizard (in mycv or in OTYS).
In the editor — Linked entities in the toolbar. You can open the candidate, vacancy, or relation in OTYS, search to change the vacancy or relation, or unlink them. The candidate link is not removed from this menu (the CV belongs to that person).

10. ATS data, the user with clock icon, and suggestions
mycv does not treat the CV as a one-off export. It stays aware of the candidate data in OTYS.
When mycv syncs
When you create a CV or open an existing one, mycv syncs candidate data from OTYS. Vacancy and relation data are refreshed quietly in the background.
You can also run Sync from the editor if you want to check again without leaving the CV.
When OTYS has changed
If an already existing CV looks out of date because the candidate changed in OTYS, mycv shows a notification (a balloon on Actions) that candidate data may have changed. Choose Review.
That opens ATS data suggestions: grouped by widget, with each change marked New, Update, or Delete. You see the current CV value and the new OTYS value.
Changes that only exist in OTYS are pre-selected.
Fields you edited manually are marked Manually edited and are not pre-selected, so you do not overwrite your wording by accident.
Select or deselect per field or per widget, then Apply selected changes.
Declining a suggestion leaves the stored OTYS baseline unchanged, so mycv can offer it again later.
Applying updates the CV. You can choose Don't show again on the balloon if you do not want the nudge on that CV; you can still open suggestions from Actions.

The user with clock icon
On the Content tab, fields that are filled from OTYS show a user with clock icon.
Select the widget.
Open the Content tab.
Click the chain icon next to a field (or the group icon on a list item).
You see:
The current CV value
The original candidate value from OTYS
Optionally the technical OTYS field name
Choose Use original if you want to put the OTYS value back. This is the per-field way to compare and restore, alongside the all-in-one suggestions review.

Hiding versus deleting
If a skill or job from OTYS should not appear on this commercial CV, hide it from the CV rather than trying to delete it. Hidden items stay in the editor so you can show them again; they are omitted from the preview and the PDF.
11. AI editor
The AI Editor is the chat side of the live editor. It is the same idea on a CV and on a template: you say what you want, mycv applies it through the editor, and you see the result on the canvas.
This chapter does not repeat Structure, Content, and Settings. Those stay available: switch back with Edit with editor at any time.
Opening it
In the editor, choose Edit with AI. The sidebar becomes the AI Editor.
You can:
Start from a suggested prompt, or type your own
Keep a history of chats for this document
Start a new chat
Attach a visual reference (an image from the media library) when you want the AI to follow a look
Use the selected layer as context (the chip shows what is selected on the canvas)
What to ask
On a CV, typical requests are: rewrite the summary in another tone, make experience more achievement-focused, adapt wording to the linked vacancy, hide or emphasise skills.
On a template, typical requests are: cleaner two-column layout, stronger header, calmer spacing, a sales-focused structure.
Ask in your own words. Replies appear in your interface language (the language in My profile), not necessarily the CV language.
How it behaves
The AI can only use approved editor actions. It does not invent candidate facts.
Large or destructive changes (for example removing a widget) ask you to Confirm or Cancel. You see a before/after where that helps.
Applied changes are undoable.
The AI reports what it changed. You can open What I tried if you want more detail.
You can rate a reply (thumbs up or down) to help improve the product.
If a request is outside what mycv can do, you get a clear boundary message — that is not a failure of the product.
AI when you create a CV
You do not have to open the AI Editor for the first draft. Creating a CV always runs the automatic text pass described in "Creating a CV in mycv". The AI Editor is for everything after that.
Where the AI runs
AI processing for mycv uses European Union servers. See the Mycv admin Guide for the organisation-level privacy summary.
12. Downloading a PDF and saving to the OTYS dossier
Download PDF
From the CV editor toolbar, choose Download PDF (or Download). mycv builds the PDF from the same layout you see in the preview. The filename is the CV name, in lowercase, with spaces as hyphens (for example Ada Lovelace CV becomes ada-lovelace-cv.pdf).

Save in the OTYS dossier
Saving puts the current PDF on the linked candidate in OTYS, using the document type from the template (by default a type named MyCV, unless the template admin chose another candidate document type).
From the editor:
Choose Save in OTYS (shown as Save in plus the ATS name).
Enter the document name as it should appear in the dossier.
Confirm. Depending on organisation creation rules, mycv may ask whether to replace a previously saved document for this CV, overwrite automatically, or always create a new document.
Saving continues in the background. You can keep editing. The toolbar shows queued → saving → saved, or an error you can retry.
From the OTYS preview, Save in dossier does the same thing without opening the full editor.
You need a linked candidate. If the CV is not linked, link one first (see "Linking candidates, relations and vacancies").
A successful save is remembered on the CV. It does not replace downloading or sharing; it is the copy that lives in OTYS for colleagues who work from the dossier.
If your organisation turns on automatic procedure creation, saving or creating a CV for a vacancy that has no procedure can create one in OTYS with the status your admin chose. That is configured under organisation creation rules.

13. Sharing a CV
You can share a CV with someone who does not have a mycv account (for example a client) using a public link.
Create a share link
Open the CV in the editor.
Open Share and choose to generate a public link (or View shared link if one already exists).
Copy the link and send it to the recipient.
Anyone with the URL can view the latest saved version of the CV as a PDF. They do not sign in. The viewer is a simple PDF reader; it is not the mycv editor.
A CV can have one active public link at a time. While the link is active, the editor shows a Shared status next to the save state.
Expiration
The link is valid for seven days from when it was created or last refreshed. The share dialog shows Link available till and the date.
There is no separate date picker: to extend access, refresh the link (this issues a new URL and immediately invalidates the old one). To end access earlier, stop sharing.
Refresh the link
Choose Refresh link if the current URL should no longer work (for example it was sent to the wrong person) and you still want a public link. Confirm. Copy the new URL; the old one stops working immediately.
Revoke access (stop sharing)
Choose Stop sharing and confirm. The current link stops working immediately. Recipients see that the CV is no longer available. You can generate a new link later if needed.
What recipients see if something is wrong
Expired, refreshed, or stopped link — the CV is no longer available.
Sharing a public link is independent of who can see the CV inside mycv. Colleagues still do not see it on their CVs list unless they created it.

14. The media library
The media library is your organisation's gallery of images: logos, backgrounds, photos you upload for templates, and similar assets. It is not the candidate photo from OTYS (that comes from the candidate record).
Opening the library

Whenever you choose an image in Settings or Content (widget image, background image, and similar), choose Choose image. That opens the media library. You can also upload from those same image fields.
What you can do
Upload images (PNG, JPG, or SVG).
Organise them in folders (create, rename, nest, drag items between folders).
Search the gallery.
Set a name, alt text, and focal point for an image (useful for backgrounds and crops).
See connections: which CVs and templates use the image, so you know the impact of replacing or deleting it.
When you pick an image, it is stored for your organisation and referenced by the document. Replacing a file that is used in many templates will show up in those connections.
Candidate photos and OTYS vacancy/relation images are handled through the ATS link, not by uploading them into this gallery by hand.

15. Who can see created CVs
Inside mycv, a CV is visible to the user who created it. The CVs list, search, and editor follow that rule for everyone, including template admins.

That means:
You see your own work, grouped by candidate.
You do not see a colleague's CVs in mycv.
Opening a CV from the OTYS widget or partner action after you created it continues in your account.
To give a client or colleague a copy, download the PDF, save it in the OTYS dossier (OTYS permissions then apply), or share a public link.
If you duplicate a CV, the copy is yours.
Deleting a CV removes it from mycv. It does not remove a PDF that was already saved in the OTYS dossier.
16. Personal settings
Your personal settings are under My profile (user menu).
Preferences
Theme — light, dark, or follow the system.
Language — English or Dutch for the mycv interface. This does not change the language of a CV; CV language is set when you create the CV and can be changed in the CV's document settings (mycv can then translate supported text).
Guided tour
Onboarding runs once when you are new. From Guided tour you can replay:
Creating CVs — search, template, editor, export (all users).
Creating templates — starters, structure, style, activation (template admins).
Replay does not reset your organisation. You can skip the in-product CV tour after the first slideshow; the first admin template tour stays required until the first template is active.

I cannot sign in / I am asked to add an email address
Add a valid email address to your OTYS user account, then open mycv from OTYS again.
I see that organisation setup is not complete
The mycv admin must finish onboarding and activate a template. You cannot create CVs until that is done.
I do not see mycv on candidate detail
Use the MyCV action in the top right of the candidate.
If you expected the widget, a view admin (setting SE3173) still needs to add the partner widget to the view. See the Mycv admin Guide.
There is no template to choose
Only active templates appear. Ask a template admin to activate one.
AI enhancement failed but I have a CV
The CV was saved. Continue editing and use Retry AI Enhancement if it is offered.
Candidate data looks old
Open the CV (sync runs on open), use Sync, or Review ATS data suggestions. Use the user with clock icon on a field to compare with OTYS.
It may have expired (seven days), been refreshed, or been stopped. Generate or refresh a link and send the new URL.
I cannot see a colleague's CV in mycv
That is expected. See "Who can see created CVs".

1. Introduction for administrators
As a mycv admin (mycv admin / template admin), you prepare the organisation so colleagues can generate CVs. You are a regular mycv user with extra permissions.
The administrator role
The role is based on Application Admin in OTYS. When an Application Admin signs in, they are a mycv admin by default, which includes template admin. You can also grant template admin to other users from organisation settings (see "User management and template admins") so they can maintain templates without being an OTYS Application Admin.
Most people in the organisation are regular users: they create and edit their own CVs from active templates. Only template admins create and change templates.
What you must do before anyone else can use mycv
Activate mycv from MyOTYS (see the next chapter).
Sign in to mycv and complete admin onboarding.
Create and activate the first template (the guided tour walks you through this, using an OTYS starter).
Until onboarding is finished and at least one template is active, mycv stays locked for every other user — in the app, in the candidate-detail widget and partner action, and through create APIs. An active template alone is not enough if you have not finished the admin walkthrough.
What admins can manage
In addition to everything a regular user can do, you can:
Create, edit, duplicate, activate/deactivate, and delete templates
Open Organisation settings: creation rules, users, AI usage, billing/usage, OTYS sync logs, and audit logs
Grant template admin to other users
Finish (and replay) the template guided tour
What admins do not see
You do not see colleagues' CVs in the CVs list. CV visibility stays with the creator. Manage templates and settings, not other people's documents.
Reaching organisation settings
Sign in to mycv.
Choose Organisation (organisation management) in the navigation.
If you do not see it, your account is not a mycv admin.
2. Activating mycv from MyOTYS
Activation is the same idea as other OTYS partner products such as mytranscript: an Application Admin turns the product on from a MyOTYS widget. mycv has its own MyOTYS widget — do not use the mytranscript widget to activate mycv.
Steps
Sign in to MyOTYS as an Application Admin.
Open the mycv widget on the MyOTYS dashboard.
Activate mycv.
Activation provisions the connection so mycv can read candidates, vacancies, and relations, and can write PDFs to the dossier. It creates or updates your organisation in mycv.
If something is wrong with the connection later, activate again from the same widget. That is the standard repair. mycv does not call back to MyOTYS on its own to check whether the connection is still healthy.

An eligible admin can enter the organisation's OTYS connection on mycv's Connect ATS screen. Prefer activation from MyOTYS when the widget is there.
3. Completing organisation onboarding
After activation, sign in to mycv and follow the admin walkthrough (see "First-time onboarding" in the User Guide). It ends with Create my first template.
The first template tour
The tour stays active until your first template is active.
OTYS provides starter templates so you do not start from a blank page. Pick a starter, name the template, optionally choose the OTYS document type for dossier save-back, and continue into the editor.
Activate the template when it is ready. The first template becomes active automatically if none is active yet; later templates start inactive until you activate them.
You can leave and resume; progress is saved. Closing the tour before a template is active brings you back to the last onboarding step.
When both the walkthrough is complete and an active template exists, colleagues can use mycv and the OTYS partner action is registered (see "Making mycv available in OTYS").
4. User management and template admins
How users get access
You do not create mycv users by hand. When someone in your organisation opens mycv from OTYS (profile menu or candidate detail), mycv creates their account from their OTYS profile. They must have an email address in OTYS.
New users are regular users unless they are Application Admins (or you grant them template admin).
Application Admin = template admin by default
MyOTYS Application Admin is read when the user signs in. That person is a mycv admin, which means they are also a template admin: they can create and change templates and open Organisation settings.
If nobody is MyCV Application Admin, nobody can finish mycv setup, and every user stays on the setup-required screen. Assign Application Admin in OTYS to at least one person and have them sign in to mycv again.
Granting template admin in mycv
From Organisation → Users you can see everyone in the organisation, whether they are an admin, and how many CVs they have generated. Open a user to see more detail (last sign-in, monthly usage).

From organisation settings you can make additional users template admins so they can maintain templates without being OTYS Application Admins. Use this when more than one person should own layouts, while day-to-day recruiters only generate CVs.
Regular users still only use active templates; they cannot open the Templates area to change a blueprint.

What regular users can do
Create, edit, download, share, and save their own CVs from active templates; change personal language and theme; replay the CV tour.
5. Templates: starters, structure, and activation
Only template admins see Templates in the navigation. Regular users never edit templates; they only pick an active one at create time.
What a template is for
A template is the organisation's house style: pages, columns, widgets, colours, fonts, and default AI guidance. Every CV is a copy of that structure filled with one candidate. Changing the template later does not rewrite CVs that already exist.
Starter templates from OTYS
You do not start from a completely empty canvas. OTYS publishes starter templates (shown as global predefined templates). When you create a template:
Choose Create a new template.
Pick a starter.
Name it and, if asked, choose the OTYS document type used when CVs from this template are saved to the dossier (the MyCV type is created for you if needed and is the default).
Open the live editor and adapt structure, widgets, and settings.
The editor is the one described in the User Guide ("The live editor" and "Widgets, rows, columns, and sections"). On a template, the Content tab is for titles, placeholders, free text, and AI-text prompts — not a real candidate. Use sample data on the canvas to judge layout.
You can also duplicate an existing organisation template if you want a variant (for example a client-anonymized version).
Activation

To activate: open the template and choose Activate template. Confirm. To take it out of use: Move template to concept. You cannot deactivate or delete the last active template; activate another first so the organisation is never left without a usable blueprint.
The templates overview lists active templates first. Inactive cards are visually de-emphasised.
Who can change templates
Only template admins. If a recruiter needs a different layout, they use another active template, or they adjust that CV in the editor (hide widgets, change text) without touching the shared template.
Document type
Set on the template (and visible under document metadata). It controls how PDFs land in the OTYS dossier. CVs inherit it; it can still be checked on the CV if needed.
6. Making mycv available in OTYS
After activation and onboarding, mycv should appear on candidate detail. This chapter is for admins and list/detail view admins.
Partner action — automatic
mycv registers a partner custom action on Candidates → detail when admin onboarding completes. It appears in the top right of the candidate. Users create a CV for that candidate; context is filled in automatically.
You should not need to add this by hand. If it is missing after onboarding, that is a mycv registration issue (try completing onboarding again or contact support) — not a missing checkbox in a personal view.
The action name is MyCV.
Partner widget — available after activation, placed by a view admin
When mycv is activated, the MyCV partner widget is available in OTYS. mycv cannot place it on the view for you.
Users who may configure list and detail views (OTYS user setting SE3173) can add it to the global (standard) candidate view so everyone sees it, or to a personal view.
To add it:
Open the view settings of candidate detail.
Search for and add the Partner widget.
Open the partner widget settings.
Select MyCV in the Widget field and save.
Two settings must be correct or the widget cannot sign the user in:
Post session token — enabled
Bypass proxy — disabled
mycv does not track whether the widget was added and does not block setup if it is missing. Without it, users still have the partner action.



Recruiters' day-to-day use of both surfaces is in "Creating a CV from OTYS" in the User Guide.
7. Organisation settings
Choose Organisation in mycv. Settings are grouped into tabs.
CV creation rules
Overwrite existing document — when a user saves a CV to the OTYS dossier again:
Disabled — always create a new document
Automatic overwrite — replace the previous dossier document for this CV when it still exists
Ask — prompt the user before replacing
Create a procedure automatically — when on, saving or creating a CV for a vacancy that has no procedure creates one with the procedure status you select. Choose a status before enabling this.
Users
See "User management and template admins".
AI usage logs
Each AI call (enhancement, translation, editor chat, and similar): time, user, purpose, success or failure, token counts. Filter and export to CSV. Use this for oversight, not for reading CV content as a matter of course.
Billing
CV generation counts for the organisation and per user. OTYS CV generation does not use a separate third-party credit product in mycv; treat this tab as usage, not as an invoice for another platform.
Sync logs
Searches and cache refreshes between OTYS and mycv for candidates, vacancies, and relations. Use this when a user reports empty candidate data or a failed sync.
Audit logs (activity log)
Who generated, edited, exported, shared, or deleted CVs, and sign-in events (including failed SSO). Filter and export to CSV.

8. OTYS sync and the dossier (admin view)
How users interact with "ATS data, the ATS link icon (user icon with clock), and suggestions" and "Downloading a PDF and saving to the OTYS dossier". We will explain when these functionalities communicate to or retrieve data from OTYS.
For you as admin:
Inbound (OTYS → mycv)
Create and open trigger a candidate sync.
Users review ATS data suggestions when an existing CV is behind OTYS.
Vacancy and relation refreshes do not open that review dialog.

If users report missing data, check Sync logs, confirm activation in MyOTYS, and confirm the candidate still exists in OTYS.
Outbound (mycv → OTYS)
Users choose Save in dossier. Nothing is written to the dossier until they do (or they do it from the OTYS preview).
The PDF uses the template's document type.
Linked vacancy and relation can be bound on that document when present.
Overwrite behaviour follows CV creation rules.
Deleting a CV in mycv does not delete a document already in OTYS.
9. Data, privacy, and AI
Where AI runs
mycv AI (create-time writing, translation, tone, AI Editor) runs on European Union servers. Prompts and responses are not used to train the AI models. Application logs and usage logs in mycv are separate; they are there for your organisation's oversight (see AI usage logs).
What mycv stores
Templates, CVs users created, media they uploaded, share-link metadata (not the secret URL itself), and the logs above. Candidate data is cached to build and refresh CVs and is cleaned up when it is no longer needed (unused candidate cache is not kept indefinitely). Unsaved draft CVs can be removed after a retention period; CVs that were kept or saved to OTYS are retained according to that policy.
Share links
A public link shows the latest saved PDF to anyone who has the URL, until it expires, is refreshed, or is revoked. Treat it like sending a file: only share with people who should see that candidate's commercial CV.
Data in OTYS
Once a PDF is in the dossier, OTYS rules apply. mycv cannot retract it by deleting the CV.
10. FAQ and troubleshooting
Every user sees "setup is not complete", including me
Confirm you are the Application Admin in MyOTYS and sign in to mycv again.
Complete the admin walkthrough and activate a template. Both are required.
The MyCV action is missing on candidate detail
Onboarding must be complete. Registration is automatic. If it is still missing, contact support; it is not added in view settings.
The widget is missing but the action works
A view admin (SE3173) must add the partner widget. See "Making mycv available in OTYS". You can optionally also add it to your own custom view.
Users cannot pick a template
There should be at least one activate template. Go to the template you want to activate and click on the label ‘Inactive’, a popup will appear where you can activate the template.
Do I create users in mycv?
No. They arrive through OTYS sign-in. Whenever a user logs in to myotys via their avatar → myotys they will be signed in and the user will appear in mycv.
Can two people manage templates?
Yes. Application Admins are template admins by default, and you can grant template admin in organisation settings.
Can two users manage a template simultaneously?
No when a user is editing a template, the template gets blocked from editing. Other users can take over the editing of that template, but the editing user will be kicked out.
I don´t see all my users in organization management
You only see users here who have at least logged in once in mycv
Does deleting a CV remove the dossier PDF?
No.
Who do colleagues contact?
Regular users contact their mycv admin. For platform-level problems (activation widget, partner registration, infrastructure), contact OTYS support.
Glossary
Active template. A template that people in the organisation can select when creating a CV. Inactive templates are in concept and only template admins can work on them.
AI Editor. Chat in the live editor that applies changes through the same structure, content, and settings as manual editing.
Application Admin. The OTYS role (setting PA171) that makes a user a mycv admin / template admin by default.
Candidate. A person in OTYS. CVs are created from candidate data.
User with clock icon. The link icon on the Content tab that shows the original OTYS value for a field compared with the current CV value.
Commercial CV. The recruiter-facing, templated CV mycv produces — not the candidate's own personal CV file.
Contact visibility. Full, anonymized, or hidden contact details on a generated CV.
Dossier. The candidate's documents in OTYS. Save in dossier stores the mycv PDF there.
Document type. The OTYS candidate document type used when saving a PDF (default MyCV unless the template specifies another).
Live editor. The workspace with a print-accurate canvas and a sidebar (Structure, Content, Settings, or AI Editor).
mycv admin. A user who can manage templates and organisation settings. See "User management and template admins" in the Mycv admin Guide.
Partner action. The MyCV control on candidate detail (typically top right) that opens create-and-preview in a modal. Registered automatically after onboarding.
Partner widget. An optional panel on the candidate detail view. View admins add it; mycv makes it available once activated.
Relation. A CRM relation / client in OTYS, optionally linked to a CV for AI audience context.
Row / column / section / widget. The layout building blocks of a template or CV. See "Widgets, rows, columns, and sections".
Share link. A public, time-limited URL (seven days) that opens the latest saved CV as a PDF without signing in.
Starter template. A predefined template published by OTYS that template admins copy to start their own template.
Template. The reusable blueprint (layout, widgets, style) owned by the organisation.
Template admin. A user allowed to create, edit, activate, and delete templates. The OTYS Application Admin is a template admin by default; others can be granted the role in organisation settings.
Tone of voice. Formal or informal writing style for AI text.
Vacancy. An OTYS vacancy optionally linked to a CV for role context.
