OTYS AI assistant
Data Enrichment
The latest addition to the OTYS AI Assistant is automatic completion of match criteria. After the November release we will gradually roll out this feature for all customers. You will see the 'AI Assistant' icon appear in your Match Criteria widget as soon as it's available for you.
Automatically assign match criteria
In addition to manually approving suggested Match Criteria to be assigned to your Candidates or Vacancies, there is now an option to accept all suggestions automatically.
Filter for assigned criteria
In the modules Candidates and Vacancies AI Data Enrichment can help you to assign Match Criteria. The suggestions can be approved manually or automatically. We have added a filter 'Open AI Suggestions' to search for Candidates and Vacancies where suggestions are still 'open' and need to be approved.
General
OTYS Dark Mode
Over the past year, we at OTYS have worked hard to give OTYS Go! a modern and fresh look. Together with our team of UI and UX designers, we’ve completely revamped the interface, focusing on simplicity, user-friendliness, and visual appeal. Today, we’re excited to introduce a highly requested feature that has been on our roadmap for some time: Dark Mode.
We will gradually roll out Dark Mode soon after the November release. You will see a switch-button, top right in your screen, as soon as it's activated for you.
Improve search results of Instant Match X Match Template
We have improved the match results of the instant match to be the same as the match button.
Batch action 'Send email' to several modules
In the Candidates module we have a batch action 'Send email'. This will add the selected candidates to a temporary mail group and open an email addressed to this mail temporary mail group. So basically an easy way to send an e-mail to multiple recipients. The 'temporary mailgroup' will ensure that recipients don't see each other in the list ('Bcc') but do get a personal salutation. We added this batch action also to CRM (mail to relations) Contact persons (mail to contact persons) and Procedures (mail to candidates or contact persons.
For each module there is a user setting to select which batch actions should be available. Select the 'sent email' options here to activate. This can also be done in 'ABAC', to setup with rules for specific groups of colleagues instead of per person.
Integrations
LinkedIn Jobfeed
The LinkedIn integration makes it possible to display job vacancies on your company page on LinkedIn. All vacancies you publish in OTYS are automatically forwarded to LinkedIn. Bear in mind that LinkedIn has its own policy on publishing vacancies; they have requirements on the quality of the information and do not accept free postings from commercial agencies. For agencies, it is possible to combine the automated job feed with paid job postings. If you want to use the LinkedIn Jobfeed, it must be activated for you and linked to your LinkedIn account. Let us know via a ticket and we will help you get started.
Remote work in job detail and Indeed XML
We have created a new ‘Remote work’ selection field that can be found in the ‘Location’ widget of a job detail or added to an interaction widget; to indicate the possibility of remote work for the job posting. The options in this selection field can be managed via the client setting ‘Vacancies - Remote work types’ (GE362). In this client setting, it is also possible to link the options to the Indeed remote work indicators. If you do this and if your vacancies are included in our Indeed XML, then the Indeed Remote Work type will also be included there.
Reports
Switch between active uses and all users
In Go! Reports it is possible to create various reports. Many of these reports have data split up per consultant/user. If a user is blocked and has data, we normally DO show the data of this user. It has always been a discussion whether or not to show blocked users in the report. When for example showing the total number of candidates placed this year per consultant; some clients really do NOT want to show names of colleagues that have left in the mean time (since the colleague left they do not find showing data for that colleague is relevant), while other clients really DO want to show the names/data of colleagues that have left in the mean time (since the candidates they placed contributed to the total number of placed candidates this year). We have changed behavior for this a couple of times, but never had real proper behavior for this. It is for example possible to limit reports to specific (active) users; however if you only want to see data from active users that would require you to change the reports every time a new user is created or blocked. We have created a toggle to switch between active and all users. When you select 'all users', the results of blocked users will be included in the report and blocked users can be selected in the 'consultants' select.
Candidates
Changed behavior of field 'First working date'
In the candidate detail we have an 'Extra dates'-widget, showing various dates. One of these dates is 'First working date'. This date was based on the start date of the candidate's work experience item which had the checkbox 'Most recent experience' checked. In the candidates list filter we also have a filter 'First work date'.However, this filter was based on a field that was not visible in OTYS Go!. Since this was causing confusion, we have decided to change the behavior of the field 'First working date' in the 'Extra dates'-widget so that it shows the field linked to the filter 'First work date'. This will cause a different date to be shown in this widget. It will however take away confusion a lot of clients have due to this behavior.
Added 'NOT contacted' to 'last contact' filter in candidates
The ability to filter on 'NOT contacted (since)' was already available in the CRM contacts and we've now also added this filter option in candidates. This gives you the ability to filter out candidates you have not spoken to in a certain period, or ever.
‘Reasons for contract termination' in 'Contract'-widget
We have added reasons of contract termination in the 'Contracts'-widget. These values we can set up in the setting 'GE363', 'Candidates - Reasons for contract termination'.
Check for duplicate email addresses in 'Email aliases'-widget
For each candidate it is possible to define a 'main email address' and it is possible to define additional email addresses. If you added/changed the main email address, we would normally already check if the email address is already used for a candidate as a main email address or as an email alias. If this is the case, we were already showing an error. However, if you added/changed an email address in the 'Email aliases' we were NOT doing such a check. Additionally it was possible to enter multiple exact the same email addresses in the 'Email aliases' widget. In both cases we now show an error to the user.
Additional fields for candidate export
To create a more comprehensive candidate export, we've added the following fields as options to add to your export profiles. - GDPR Due date - GDPR status - Last contact moment - Candidate Type
IBAN field available in questionset
We have made the field 'IBAN' available to use in questionsets. This can for example be used in the 'my profile' questionset, to ask candidates to login to the portal and complete their personal data.
Dashboards
Show 'totals row' in the Vacancies-widget
On the Go! Dashboards it is possible to add various widgets, including a Vacancies-widget. This widget shows specific vacancies (for example based upon a filter) and various fields per vacancy (for example the job title and the number of candidates needed). The widget (like other widgets) show a total count of the total number of vacancies in the widget, but can now also show the totals the columns containing extra fields. You can turn this on by checking the 'Show totals row' checkbox in the widget configuration.
Limit of adding dashboards to dashboard sets
We have created a limit of 40 dashboards per set due to the fact that the UI would break after adding 40+ dashboards.
Workflows
Skip processing screen when triggering interaction forms
We have various workflow actions in which based upon a status change a modal appears to 'take an action'. This action can for example be create a standard document, fill in an interaction form or change other statuses. Normally workflow actions need a 'confirmation' of the user before they are being executed. We have a checkbox 'Skip processing screen' which was already implemented for generating standard documents and opening partner actions which -if checked- skips this screen and immediately opens the standard document or partner action. We have now also made this checkbox available for the workflow action to trigger interaction forms through workflows, which makes it possible to skip this screen after the status change. This checkbox will by default be unchecked (thus current behavior remains), however if you want to skip this screen you can simply check this checkbox in the workflow action.
Mailinglist
Add counter in 'add to list' batch actions
In various modules there are batch actions to add receivers to mail groups; for example 'Add candidates to mailgroup' in the Procedures module or 'Add to mailgroup' in CRM. As part of this action, you see an overview of existing mailgroups. We have added the current number of 'members' (recipients) in those mailgroups in that overview as a number between brackets. This way you see how big the group already is before you add more recipients to it.

Extra fields available in the contactperson list view
It was already possible to create 'Extra fields' for Contact persons, to store information for which OTYS doesn't have a standard field. It is now also possible to add these Extra fields to the list view.
Procedures
Extra fields into filter option in Procedures
In the Procedures module you are able to use 'extra fields', this way you can create your own fields for certain information when there is no default field in OTYS. We now added search options for these fields. Click 'add criterium' in the in the right panel and you will see search fields that match the type of information in your extra fields; date-, keyword,- select- or multi-select search.
Days since last statuschange available in export
The field 'Days since last status change', that was recently added to Procedures, is now also available in export profiles for Procedures.

We have added a open source location picker into the Appointment planner where you can type ahead a location!
Settings
Matching templates - Add 'mandatory' checkbox for vacancy status
When you use the 'match' button in a candidate detail, this will normally trigger a search for vacancies with the same match criteria as this candidate. For vacancies we do the same but search for candidates. With Matching Templates you can configure additional/ other search criteria.These templates can also be used in the 'Instant Match' widget. We are improving the configuration options of these templates and have now added the option to use the 'Mandatory' checkbox for vacancy status. This way you can select for example only open vacancies.
