Introduction
With Procedures you keep track of the application proces of a certain candidate for a certain vacancy. The Procedure detail can be used to store information, Quick Evaluations and dossier items that belong to that specific combination. This way the Candidate detail gets less crowded with information and you can see directly that for example a motivation letter or appointment belongs to a certain vacancy.
General
You reach the Procedure detail via a click in a procedure widget on your dashboard, via the Application widget in a Candidate or Vacancy detail or via the Procedures list view. When you store items like a document in the dossier of a Procedure detail, it will automatically also be linked to the dossier of the Candidate and the Vacancy. We also store the Procedure status that was active when that item was added. This is used to show the dossier items in the correct step in the Application flow widgets.
The Application flow widgets replace the old application widgets. They show a more visual representation of the both the current status as well as the steps in the past and next steps for that procedure.
Dependencies
The Application flow widget works for customers who use one procedure status list. Some customers still use a legacy view with three procedure status lists. They can use the Procedure detail but not the Application flow widget.
Activation
The Procedure detail is active voor all customers. The Application flow widget in the Candidate- and Vacancy will show automatically for all customers, unless they still use the legacy view with 3 procedure status lists.
Dossier - Define step on manual dossier item creation (SE3502) This client setting is now enabled by default. It will ask the user to select a Procedure status when they manually add a document to a Procedure dossier. Key users can disable it, but we advise to keep it active. This is how you make the connection between a status and dossier item to see it at the correct stap in the Application flow widgets.
Configuration
There is no need for configuration for this feature. However you can change the detail view for the Candidate, Vacancy and Procedure to your preference. For example by using the Application flow widget over the full with of the page, or in a column on half the page.
Usage
In the Application flow widget, you can click each status to see linked items for that status like appointments or documents. You will also find buttons to go to the next or previous step. In the right corner for each application, you find the following buttons:
‘Expand’: this shows additional info of this procedure, like linked datum and user
‘Procedure detail’: use this to open te full Procedure detail
‘History’: to see the history of the status changes with date stamps
‘Quick Evaluations: will show if one or more evaluations are present. Click to see them and add more. There is also a clear overview of these Quick Evaluations in the Procedure detail
‘Edit procedure’: to change the status via a select list with all available statuses. For example when want to skip to a certain status.
‘Unjoin’: optional, will not show for all users. This is to unlink the procedure. We advise to use this option very sparingly. In most cases it will be relevant to keep the procedure and for example use a status like ‘rejected’, combined with rejection reasons, to register why this procedure did not become a placement.
