Managing your OTYS account can be done in a number of ways, and as a (key/super) user you have the freedom to alter your personal information however you want.

To change your profile picture, title, name, email, or language you can click the user image/your profile picture in the top right corner and select ‘My profile’. You can also do this by clicking in the same area and selecting ‘MyOTYS’. Navigate to the newly opened tab, and click your profile picture in the bottom left corner. Here you can also add your LinkedIn URL and set communication preferences, such as newsletters and release notes. Please note that you can not set these preferences for others, only for yourself.

Creating a new user

You can create, manage, and block users yourself using MyOTYS. Please note that you must be a super user or a key user to do this (for others). If you use an Azure environment, you won’t have to do this manually. This can ben fully automated via Azure. Please raise a support ticket to enquire after the option to do so.

To create a user using MyOTYS, please follow the steps below.

  1. Click on your profile picture in the top right corner of your screen

  2. Click on ‘MyOTYS’

  3. In MyOTYS click on the ‘Users’ icon on the left side of your screen

  4. Here you will see a list of the users in your system

  5. To create a new user, click the green button

  6. Fill out a first name, an infix if applicable, a last name, and an email address

  7. You can choose a password for them or generate a random password. When the user tries to log in for the first time, they will be asked to create a new password regardless

  8. Choose what modules this account should have acces to, and whether they are a user, key user, or super user

  9. Copy the username and password to provide to your new user once you’ve finished creating their account

  10. Click ‘Create’ to finish. Do note, if the button is greyed out it means that you have not yet filled out all the mandatory fields.

Blocking and unblocking users

If you use MyOTYS, you can also manage and block/unblock users in the same place as you create them (see the steps above). If you do not use MyOTYS, blocking and unblocking is done by using the user settings.

  1. Click on you profile picture in the top right corner of your screen

  2. Click on ‘user settings’

  3. If you wish to unblock a blocked user, make sure you select ‘blocked users’ in the ‘limit’ field. If you wish to block a user, you can leave this field empty.

  4. Set the field ‘Target user’ to the user you wish to block or unblock. please note: make sure this is not set to yourself, as you don’t want to block your own account.

  5. Set the field ‘setting number’ by typing in DB71

  6. Searching on this combination should result in the setting ‘Account detail - blocked (DB71)’, with the user you set as a target for the action.

  7. If you wish to block a user, make sure this setting is set to ‘Enabled’.

  8. If you wish to unblock a user, make sure this setting is set to ‘Disabled’

Managing user rights

As a key user you can give other users different (extra) rights via either MyOTYS or the user settings. For MyOTYS you can simply navigate to the ‘users’ section of the page and view each user, assigning them rights where needed or desired.

When you use user settings instead it can get a bit more complex. If you need to change one or two user’s rights, it’s easiest to use the settings we will describe in a moment. If you want to do a lot of users, we recommend that you make use of ABAC, our Attribute Based Access Control. You can find everything you need to know about ABAC here.

Setting individual user rights

  1. Click on your profile at the top right of your screen

  2. Click on ‘user settings’

  3. On the right hand side of your screen make sure you fill out the correct user under ‘target user’. The user you will select here will be the one receiving the changes you’re about to make

  4. Now, you can search for what you want to alter. There are quite a few options, but you can search ‘Enable for user’ if you’d like to see all the options

  5. Note that these options can range from entire modules to single buttons in single widgets. Please take the time to go through these carefully.

Note: It is not possible to give normal user Key-user rights.

Logging in

To start of you, of course, have to log in. You will do so in your environment, with a URL unique to your company. OTYS users do not share one generic URL between customers. The URL you need will be shared with you once your environment is ready in case you are new, and we advice you to bookmark it. It should look something like this: https://[customer name].otysapp.com

The [ customer name] part of the URL is also called the prefix, and it’s unique to your organisation but not unique to you as a user.

In case you’ve forgotten your prefix, there are a few things you can do. In most cases it will be your company name in lowercase letters. If that doesn’t work, the easiest thing to do is to ask a colleague to forward you the correct URL, seeing as you share the same one. If your colleague is not available, or you work independently, it’s best to contact our support team. You can do so by calling +31 3 185 84 900 from anywhere in the world.

Once you have the correct URL you will be prompted to log in with your username and password. 

Changing your password

As a super or key user, you are able to change the password of your colleagues in case they lose it, or can no longer log in. If this is the case, please check first that they are using the correct URL and the correct username when they try to log in. Please note that the username is often not the users email adress. Good to know: when you provide them with a new password after following the steps below the user will be prompted to supply a new password when they first log in. In this case, the system will ask for an old password and a new password. The old password will be the one you gave to them, and not the one they lost.

Steps to resetting a password

  1. Click on your profile picture in the top right corner

  2. Click on ‘settings’. Please note, if you have seperate user and client settings the steps to resetting are different. You can find these below.

  3. If you’re a super user, click ‘User settings’, and click on the user for whom you want to change the password

  4. If you’re a regular user, click ‘Account’, then ‘Password’

  5. Fill out a new password under ‘Value’

  6. Click save

  7. The new password might take a couple of minutes to take effect

  8. Log in with the new password

Steps to resetting a password (user and client settings)

  1. Click on your profile picture in the top right corner

  2. Click on ‘User settings’

  3. If you’re not doing this for your own account, make sure you select the correct OTYS user by changing the target user in the filter

  4. Search for the keyword ‘Password’ or search for setting number ‘DB62’ in the filters on the right hand side

  5. Open setting ‘Account details - Password’ (setting number DB62)

  6. Enter a password in the value field

  7. Click save

  8. The new password might take a couple of minutes to take effect

  9. Log in with the new password
