Speech to text
In details of Candidates, Vacancies, Relations, Contacts, Placements and Procedures you will find an AI Assitant button at the top right. This will open the Chat functionality. To help you get started the Chat will show suggestions for questions, but you can also use your own prompts. New in this release is the 'Speech to text' functionality; you can now Talk to OTYS!
Candidates
Changed default fields shown in Kanban board
In the Candidate detail it is possible per user to include a Kanban view. It is possible to configure this Kanban view per user. If the Kanban view was not configured, it would show a specific default with 'nothing selected'. We have changed this so if a user did not indicate any preference, we will by default show options 'Notes', 'Calendar item', 'Owner', 'Quick Evaluation' 'Relation' and use 'Last status change' as display date. Please note this will affect your candidate Kanban view to show more information if you never configured this. If you prefer to show less information, please use the settings-button on top right of the Kanban view to one-time change it so it will only show your preferred additional fields (which can also be 'nothing').
Relation name added to Instant Match widget
In the Candidate detail the Instant Match widget shows suggestions of Vacancies that can be a good match for that candidate. In this widget we now also show the name of the relation connected to the vacancy. In the Quick Actions menu we added a button to open the relation detail.
Instant match results are now clickable
The Instant Match widget in the Candidate shows suggestions for potentially fitting Vacancies, and in the Vacancy detail to see potentially fitting Candidates. To make it easier to work with, we made the list of results in the widget clickable (before you could only open te results via a menu button).
Configurations & Settings
Hex Colors available for color picker in procedure status configuration
When configuring procedure statuses you can give them a color. This used to work with a fixed selection of colors. We changed this to a Hex Colors picker for more flexibility.
Description of setting now visible in ABAC
With ABAC we can connect user settings to organisation units; a quick way to configure the permissions for groups of users (instead of per user). A lot of setting have a description with additional information. This description is now also available to add to the list view in ABAC and as an information icon when you select a setting in a rule.
Define default values per PrintCV template
When creating a PrintCV for a Candidate, some options can be selected; include a foto, cover page, the language etc. We now made it possible to define default values for these options per template so you don't have to select them every time you create a PrintCV. This can be done by a Key User via client setting 'DocX Print CV Templates' (GE156). Please note: selecting the options will only work if they are available in the template. If the template for example does not include a cover page, checking the box will result in an error.
Formatting now possible in default text fields for vacancies
In client setting 'Vacancies - Vacancy texts' (GE127) a Key user can configure the vacancy text fields. One of the options is to use 'default text'. We have added the 'CKeditior' functionality so key users can for example work with bullets and other formatting in these default texts.
If you want to use this option but don't see the checkbox for 'use default text' in the setting, let us know via a support ticket so we can activate this functionality for you.
Dashboard
Bottom navigation removed from dashboard
A while ago we added an improved navigation to the dashboards. At the top left you find the name of your current dashboard. If you have more dashboards and/or dashboard sets available, you will see a menu when you click this name. We left the 'old' navigation with dashes at the bottom at first to give a fallback option for the first period. In this release we remove the dashes navigation.
Placements
New icon for 'Reactivate placement' button
In the header of a Placement detail the buttons for 'Archive' and 'Reactivate' used to have the same icon. We changed the icon for 'Reactivate'.
Procedures
Procedure Alerts
The new Procedure Alert feature shows you which Procedures are 'stuck' and need attention. Configure per status if and after how many days an orange 'attention needed' and a red 'term exceeded' icon should show. This can be done by a Key user via client setting 'Procedures - Procedure status 1 values' (GE6). In the Procedures module you will find a new filter to find all Procedures with a 'attention needed' and/or 'term exceeded' marking. The icons will show in the list view of procedures (add the new column), Procedures widget on the dashboard (add via 'extra fields') and Kanban tabs in Candidate- and Vacancy detail views.
Reminders
Linked entities visible in listview
In the Reminders module we made a new column available to show 'Related to'. If any entities are related to the reminder, we show a 'link' icon and the number of entities. Click to show a modal with the names. These are clickable to open the details.
Reports
Visual changes Reports module
To make our reports module easier to navigate we've made some visual changes. All the buttons and sections you're used to are still here, they might just be in a different position. Your vacancy criteria and your candidate criteria have moved to the top of your screen instead of being hidden in the other filters. The 'save' and 'apply filters/reload' buttons have been made more clear, and easier to find. Lastly, everything that changes the view of your graph (The selected period, the view period, the legend and the type of graph) is now being displayed on top of your graph instead of all in the same place.
UTM Source filter for Procedure status reports
To track how a candidate (application) was made, it is possible to link 'UTM tags' to candidates and procedures. The UTM tags are 'UTM source' (for example 'Indeed'), 'UTM medium' (for example 'Jobboard'), 'UTM campaign' (for example 'CPC'), 'UTM term' (for example 'Developer') and 'UTM content' (for example 'Version1'); out of which the 'UTM source' is normally considered the most important one. The UTM tag of a candidate is normally filled with the source of when the candidate entered the OTYS system and the UTM tag of a procedure is normally filled with the source of when the candidate-vacancy link was made (which can be the same, but not neccesarily need to be). In Go! Reports we are able to report on procedure status changes (table 'Vacancy', module 'Procedure status changes') and show them in a 'funnel' (table 'Vacancy', module 'Procedure status funnel'). This way it is for example possibly how many candidates were matched to a vacancy, introduced to a client, invited for an interview or hired in a specific period. In these reports we have added a 'UTM sources'-multi select, allowing you to limit data being shown to procedures with specific UTM sources. This multi-select will show all UTM sources linked to procedures case insensitive (so for example 'LinkedIn' and 'linkedin' are combined to 'linkedin'). This way you are able to report on this data for very specific (UTM) sources.
Procedure status changes reports based on owner
As a standard, Reports based on procedure status changes always allocate the 'point' of the change to the person who triggered the status change. As of this release, we can now also award this 'point' to the candidate owner, the vacancy owner, or the procedure owner (if a procedure owner is used). To use this alternative calculation a Key user can select which owner should be used for all Procedure status reports in client setting 'Reports – Procedure status changes reports based on' (SE3588). When this setting has a value of 'nothing selected (---)', you can change this per report. Please note: If you set this setting to any value other than 'nothing selected (---) and save, all previously set up reports with potentially different owners will be overridden.
Tasks
Improved look for linked entities in listview
In Tasks you can add a column in the listview that shows the linked entities per task. Previously we showed letters per related item (ex. 'R' for relation). We improved the look and functionality. The column 'related to' will now show an icon and the number of linked items. Click the icon to see the specific items, click the items to open the details.
Vacancies

Field 'Third party vacancy detail url' available in application options
In the 'Application options' widget in a Vacancy detail, it is now possible to show the field 'Third party vacancy detail url'. If a url is added in this field, this will replace the vacancy detail on the website; if a website visitor clicks the vacancy to view the detail, they will be taken to the url that was filled in the field. This is mostly used by Jobboards, to take redirect the visitor to the vacancy detail on the website of their customers. Some customers may remember this from an earlier version of our software. Please note; the end result will also depend on your website builder, we just made the field available. This functionality needs to be activated by OTYS.
