# User Training Recap & Reference Guide

**OTYS Go! Implementation Training – Session 1**

Thank you for joining our first user training session! Below you’ll find an overview of the topics we covered during the session. This document can be used as a reference guide when working in the system.

## 1. Introduction

In this first user training, we explored the key functionalities of your new system — from navigating the dashboard and managing clients in the CRM, to creating vacancies, searching for candidates, and tracking progress through dashboards.

Each of these features supports your daily work by making recruitment processes more efficient, organized, and transparent. As you continue using the system, you’ll find that the different modules and workflows become increasingly intuitive and interconnected.

This guide provides a summary of what we covered during the session and can be used as a reference as you get more familiar with OTYS Go!

## 2. Navigating the Dashboard

### Vision Dashboard

We explored **The** **Dashboard**, which helps you prioritize your daily activities:

- It shows which actions need to be taken and when.
- You can easily identify where attention is required.
- It’s demonstrated how to navigate the system, perform quick searches using **QuickSearch**, and review recent activity through the **Daily History** section.

## 3. Working with the CRM

### Creating Relations or Business Units and Contacts

We practiced how to create a **prospect** or **business unit** and add **contact persons** directly from the dashboard.

### CRM Details and Dossier Management

We reviewed the **detail view** within the CRM, showing how to:

- Access full company and contact information.
- Review the last commercial contact.
- Manage and build complete client records.

For recruitment and staffing agencies: We also discussed the **CRM Contact Dashboard**, where all contacts and follow-up actions can be managed centrally.

## 4. Start your recruitment activities

### Creating a Vacancy

It’s demonstrated how to create a **vacancy** linked to your contact person. During this section, we covered:

- The **Vacancy Parser**, which helps automate vacancy creation.
- How to create a vacancy directly from the dashboard.
- How the **AI Assistant** can support writing and refining job descriptions, connecting with other modules for publishing and management.
- **Online Vacancy Presentation** – Present and share vacancies directly from to your shortlist of candidates.

## 5. Searching for Candidates

We explored several ways to search and match candidates:

- **Instant Match:** Automatically suggests suitable candidates using AI, directly after creating a vacancy.
- **Matching Templates:** Predefined templates to simplify recurring searches.
- **Hunt & Select:** Active candidate search within the **List View**; we discussed how the list and module structure are organized.
- **Keyword Search:** Finding candidates through targeted keyword queries.

## 6. Evaluating Candidates

We walked through the full evaluation process, including how to:

- Open and review a candidate profile from **Hunt & Select**.
- Assess candidate qualifications.
- Add internal notes and set follow-up dates.
- Share candidates with colleagues and set reminders for collaboration.
- Dossier management: manage e-mails, documents and notes.

## 7. Matching and Managing Candidates

Once a suitable candidate was found, it’s demonstrated how to:

- **Link a candidate** to a vacancy.
- **Online CV Presentation** – Present and share candidate profiles directly from the system.
- Return to the Dashboard to monitor candidate responses.
- Use the **Workflows** to schedule interviews and manage workloads.
- Visualize candidate progress via the **Kanban Board**.

## 8. Recruitment Dashboards & Reporting

We concluded by exploring the key dashboards and widgets available for recruitment management:

- **Vacancy Progress Widget** – Track the progress of open vacancies.
- **Procedure Widgets** – Follow internal workflows and recruitment stages.
- **Kanban Board** – Visual overview of recruitment pipelines, including activities of other team members.
